Tips for Event Organization
Once you have an idea for
an activity, develop a plan outlining details such as location,
date and time, audience, promotion, deadlines, materials and
funding requirements.
REMEMBER, YOU CAN’T START TOO EARLY!

It's a good idea to work in small teams, with specific
tasks and deadlines. For example, one team can look for
sponsors such as local businesses or media, while another
can take
care of publicizing the event.

When you approach potential sponsors or partners,
be sure to point out the benefits of contributing: to
gain visibility in the community, to support their engineering
employees or to build a reputation for innovation.

When choosing a venue, make it as easy as possible
for the public to see your event. Businesses can invite
participants to their premises. Others should select a
site that is well
known, offers easy access and is likely free of charge,
like a shopping centre or public library.

Approach the management in advance for permission
to use the premises. Be sure to explain in detail exactly
what you want to do and what materials will be involved.
(Note that there may be insurance implications.) Point
out what's in it for them: increased visitor traffic and
improved
community relations.
